"The Program" is the application of the St.Lawrence Toastmasters Club (Montréal), a volunteer-run non-profit club. It publishes the weekly meeting program, lets members sign up for roles, and sends the club's program emails. It carries no advertising and sells no data.

Data we keep

Member record: name, email address, Pathways path and level, executive committee position where applicable. This comes from the club's membership records (Toastmasters International export) and from your Google sign-in.

Club activity: roles taken or offered at each meeting (speaker, evaluator, timer…), speech titles, and past-season history. This is the raw material of the program and of progression statistics.

Google sign-in: on first sign-in, Google shares your name and email address, used solely to link your account to your member record. The application stores no passwords.

Use of Google user data

Gmail access (send or drafts) is granted only by the VP Education, on their own account, to send the club's program emails. The application never reads any mailbox content: it only sends messages or saves drafts from that account.

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements: no Google user data is transferred to third parties, used for advertising, or read by humans beyond the above.

Personalized emails and AI

Program emails (weekly announcement, reminder, personal recap) are written with the help of a language model (Anthropic). Only your first name, your role history at the club and the meeting program are shared for writing purposes; never your email address nor any Google data. To stop receiving these emails, simply reply and ask the VP Education.

Who sees what

The public program shows the names of members signed up for upcoming meeting roles. The member directory (paths, executive committee) is restricted to signed-in members. Email addresses are never publicly visible.

Hosting and processors

Data is hosted with Supabase (database) and Vercel (application). Emails are sent through the Gmail API of the VP Education's account. Personalization uses Anthropic's API. No other sharing, no selling, no advertising trackers. The application only uses cookies required for your sign-in session and stores your language preference in your browser.

Retention and your rights

Data is kept for the duration of your membership and as club history (progression statistics). You may request access, correction or deletion at any time from the club's VP Education, by replying to any program email or via toastmastersmontreal.com.
